Privacy Policy
Satisfied Customers LLC Effective date: November 3, 2026
This policy explains what information Satisfied Customers LLC ("Satisfied Customers," "we," "us") collects, how we use it, who we share it with, and the choices you have. It covers our website, satisfiedcustomers.com, our phone line, and the AI receptionist service ("Sandy") we run for local businesses.
Questions? Email us at hello@satisfiedcustomers.com.
The short version
- If you call a business that uses Sandy, the call is recorded and transcribed so the business can get a summary of what you need. Sandy tells you this at the start of the call.
- Recordings and transcripts are deleted after 90 days.
- We don't sell your information.
- Our website doesn't use advertising trackers, analytics cookies, or cross-site tracking.
- You can ask us to see, fix, or delete your information at any time by emailing hello@satisfiedcustomers.com.
Who this policy is for
- Callers who reach Sandy, either on our own line or when calling a business that uses Sandy.
- Local businesses and the people who run them who ask about our services, try them, or become clients.
- Visitors to satisfiedcustomers.com.
When Sandy answers calls for a client business, we handle that call on the business's behalf. That business may also have its own privacy policy that applies to you.
What we collect
From callers (through Sandy):
- A recording of the call and a written transcript
- Your phone number (caller ID)
- What you tell Sandy, such as your name, callback number, address, what you need, how urgent it is, and a good time to call back
- The date, time, and length of the call
From businesses and prospects:
- Your name, phone number, email address, and business name
- Notes about your business and what you're looking for, for example from a call with Sandy, an email, the free business check-up, or a free trial sign-up
- Public information about your business, such as your Google and Yelp listings, reviews, and website, which we look at when we do a free check-up
- Notes from our outreach to you and your replies
From website visitors:
- Our website doesn't have forms, accounts, analytics, or advertising cookies. To get in touch, you call or email us.
- Like nearly every website, our hosting and security providers automatically receive basic technical information when you visit, such as your IP address, browser type, and the page you requested. This is used to deliver the site and keep it secure.
- Our site loads fonts from Google Fonts, so your browser connects to Google to get them, which shares your IP address and browser details with Google.
We don't ask for payment card details, Social Security numbers, or other sensitive information.
Call recording and transcription
You'll be told up front. At the start of every call, before you say anything, Sandy tells you the call is recorded and transcribed. If you'd rather not be recorded, you can hang up and contact the business another way, for example by email or in person.
Staying on the line means you agree. By continuing the call after the notice, you consent to the call being recorded and transcribed.
Why we record. We record and transcribe calls so Sandy can understand you, get your details right, and send an accurate summary to the business you called. We also use recordings to check quality and fix problems with the service.
Who processes it. Calls are handled by voice-AI service providers that process the audio and text for us, on our behalf, to run the service. They're bound by their own terms to protect the data. The current providers are listed in the "Service providers" section below.
Our voice-AI service provider does not use your calls to train its AI models, and it automatically deletes the call data it processes for us within about 30 days.
How long we keep it. Call recordings, transcripts and the call summaries emailed to us are kept for 90 days and then deleted. The call summary sent to the business stays with that business, which keeps it under its own policies.
How your call details reach the business you called
When Sandy answers for a business, she sends that business a summary of your call by email. It includes what you need, your name and callback number, how urgent it is, and a link to call you back. This is the whole point of the call: getting your message to the business so they can help you.
Once the business has your summary, it decides how to use and store it. Contact the business directly with questions about how they handle your information.
How we use information
- To answer calls and send call summaries to the business that was called
- To respond to your questions and requests
- To deliver our services, including the free business check-up, websites, and trial setup
- To schedule calls and follow up with businesses about our services
- To run, secure, and improve our website and services
- To follow the law and protect our rights
We don't sell your personal information, and we don't share it for other companies' marketing.
Who we share information with
We share information only with:
- The business you called. Callers' details go to the business Sandy answered for, in the call summary.
- Service providers that help us run our business, including voice-AI and phone providers, email, cloud storage and spreadsheet tools, and website hosting and security. They process information only on our behalf.
- Authorities, when required. We may share information if the law requires it, or to protect someone's safety or our legal rights.
- A buyer or successor. If our business is sold or merged, information may transfer to the buyer or successor under this same policy.
Service providers
These are the main providers we use today. We may change them over time.
- Voice AI, call handling and post-call summary emails: xAI (Grok Voice)
- Phone number and call routing: xAI (we may move this to a telephone provider such as Twilio later)
- Email and lead sheet: Google Workspace (Gmail and Google Sheets)
- Website hosting and security: Cloudflare
- Domain registration and DNS: Squarespace, which handles the redirect from satisfiedcustomers.com to www and may set a basic "crumb" cookie on that redirect
- Website fonts: Google Fonts
Marketing and outreach
We may reach out to local businesses by phone, email, or in person to tell them about our services, and follow up with people who've asked about them.
To opt out, reply "unsubscribe" to any email, tell us on a call, or email hello@satisfiedcustomers.com with "Opt out" in the subject. We'll stop marketing to you and note your request so you aren't contacted again. We may still contact you about a service you're actively using.
Do Not Track and cross-site tracking
Some browsers send a "Do Not Track" signal. Our website doesn't track visitors over time or across other websites, and we don't use advertising or analytics cookies, so there's nothing for the signal to switch off. We treat every visit the same whether or not Do Not Track is on.
We don't allow third parties to track you across other websites through our site. The only outside services our site connects to are our hosting and security provider and Google Fonts, which receive basic technical information like your IP address to deliver the page and fonts.
How long we keep information
- Call recordings, transcripts and emailed call summaries: 90 days, then deleted.
- Lead and prospect information (name, phone, business, notes): up to 24 months after our last contact with you, then deleted, unless you become a client.
- Client account information: for as long as you're a client, and for a reasonable time afterward for records, taxes, and legal needs.
- Opt-out records: kept so we can honor your request not to be contacted.
Seeing, fixing, or deleting your information
Email hello@satisfiedcustomers.com to:
- ask what information we have about you,
- correct anything that's wrong, or
- ask us to delete it.
Tell us your name and the phone number or email you used with us so we can find your records. We may ask a question to confirm it's really you. We aim to respond within 30 days. If your information is in a call summary we already sent to a business, we'll delete our copies and let you know to contact that business about theirs.
We won't treat you differently for making a request.
California privacy rights
We're a small business, and we likely don't meet the size thresholds of the California Consumer Privacy Act (CCPA). Whether or not it applies, we'll honor requests from anyone, in California or elsewhere, to access, correct, or delete their information, as described above. We don't sell or share personal information for cross-context behavioral advertising.
Children
Our services and website are for businesses and adults. They aren't directed at children under 13, and we don't knowingly collect personal information from children under 13. If you think a child has given us information, email hello@satisfiedcustomers.com and we'll delete it.
Security
We use reasonable safeguards to protect your information, such as access controls, secure (encrypted) connections, and reputable service providers. No system is perfectly secure, but we limit who can see your information and keep it only as long as we need it.
Changes to this policy
If we change this policy, we'll post the new version on this page and update the effective date at the top. If a change is significant, we'll also put a notice on our homepage or email clients directly. Using our services after a change means the updated policy applies.
